Responsibilities and Duties
- Manage customer order processing, including order confirmations, sales order entry, invoicing, and shipment coordination.
- Place purchase orders with headquarters and coordinate daily shipment requests with warehouse partners.
- Maintain accounts receivable and accounts payable records, monitor cash receipts, and follow up on overdue customer payments.
- Support customer account management by tracking forecasts, production schedules, and coordinating communication related to supply and demand planning.
- Manage supplier portal activities and logistics-related administrative processes.
- Assist with HR and administrative functions, including recruitment support, employee records, attendance tracking, annual leave administration, and compliance-related documentation.
- Provide administrative support for expatriate employees, including coordination related to visas, housing arrangements, payroll-related matters, and employee benefits.
- Prepare and maintain internal documents, operational procedures, reports, and company policies in collaboration with relevant stakeholders.
- Support general office operations and contribute to continuous improvement of administrative processes.
Qualifications
- Professional working proficiency in both Japanese and English, with the ability to communicate effectively in a business environment.
- 1+ year of experience in sales administration, customer service, office administration, or a related business support role preferred.
- Understanding of order processing, customer support, and administrative operations.
- Basic knowledge of accounting functions, including accounts receivable and accounts payable, is preferred.
- Proficiency in Microsoft Excel, including functions such as Pivot Tables, VLOOKUP, SUMIF, and data management tools.
- Working knowledge of Microsoft Office applications, including Word, PowerPoint, and cloud-based collaboration platforms.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Detail-oriented, proactive, and capable of working effectively in a cross-functional and multicultural business environment.
