Responsibilities and Duties

  • Ensure general management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning.
  • Greet office visitors, answer and direct phone calls, field inquiries from sales representatives, and maintain office efficiency.
  • Prepare and send invoices, maintain client databases, track accounts, and assist with copying and distributing production orders and other internal documents.
  • Oversee and achieve organizational goals while maintaining an efficient, productive, and positive office culture and employee experience.
  • Keep track of all payments and expenditures, including payroll, purchase orders, invoices, statements, etc.
  • Pay vendors by scheduling pay checks and ensuring payment is received for outstanding credit; generally responding to all vendor enquiries regarding finance.
  • Assist colleagues whenever there is an opportunity to do so.

Qualifications

  • Fluency in Japanese - Professional Working to Native Level.
  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Outstanding communication and interpersonal abilities.
  • Excellent organizational and leadership skills
  • Knowledge of MS Office and office management software.
  • Familiarity with office management procedures and basic accounting principles.
  • Previous experience as an office administrator or in a similar role is ideal.
