Responsibilities and Duties
- Ensure general management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning.
- Greet office visitors, answer and direct phone calls, field inquiries from sales representatives, and maintain office efficiency.
- Prepare and send invoices, maintain client databases, track accounts, and assist with copying and distributing production orders and other internal documents.
- Oversee and achieve organizational goals while maintaining an efficient, productive, and positive office culture and employee experience.
- Keep track of all payments and expenditures, including payroll, purchase orders, invoices, statements, etc.
- Pay vendors by scheduling pay checks and ensuring payment is received for outstanding credit; generally responding to all vendor enquiries regarding finance.
- Assist colleagues whenever there is an opportunity to do so.
Qualifications
- Fluency in Japanese - Professional Working to Native Level.
- High school diploma; BSc/BA in office administration or relevant field is preferred
- Outstanding communication and interpersonal abilities.
- Excellent organizational and leadership skills
- Knowledge of MS Office and office management software.
- Familiarity with office management procedures and basic accounting principles.
- Previous experience as an office administrator or in a similar role is ideal.
