A creative company operating across advertising production, branded entertainment, and IP development is seeking an Office Manager to support its U.S. operations. This position reports directly to the CEO and plays a critical role in ensuring smooth office operations. The role is responsible for overseeing HR, administrative functions, and accounting support while collaborating with external partners such as CPA firms and legal advisors.

Responsibilities and Duties
- Manage employee onboarding and offboarding processes, including documentation and coordination
- Oversee HR administration such as time tracking, PTO management, and employee records
- Coordinate recruitment processes, including candidate communication and interview scheduling
- Support office operations including facilities management, supplies, and vendor coordination
- Handle administrative tasks such as mail distribution, visitor reception, and meeting coordination
- Provide legal and documentation support, including contract management and electronic filing
- Assist with accounting operations including AP/AR tracking, expense management, and payment processing
- Liaise with external CPA firms by preparing supporting documents for monthly closing
- Maintain budgeting oversight and manage payment schedules
- Coordinate with the Japan office on administrative and accounting-related matters
Qualifications
- Business-level proficiency in both English and Japanese (written and verbal)
- Prior experience in HR or Office Management within the U.S.
- Basic knowledge of accounting principles (AP/AR, bookkeeping; QuickBooks experience is a plus)
- Strong attention to detail and accuracy in administrative tasks
- Ability to work in a fast-paced environment with a high level of responsiveness
- High level of integrity and ability to maintain confidentiality
- Experience in entertainment, advertising, or production industries is a plus
- Experience supporting legal documentation or contract management is preferred
- Knowledge of event coordination or production-related operations is a plus
