Responsibilities and Duties
- Coordinate port entry and departure procedures for government and defense-related vessels
- Liaise with port authorities, customs, immigration, and quarantine offices to ensure smooth operations
- Arrange vessel services including tugboats, pilots, berth allocation, and supply provisioning
- Manage crew logistics such as immigration clearance, accommodations, and transportation
- Organize travel itineraries, accommodations, and transportation for training programs and participants
- Prepare quotations, manage cost control, billing processes, and handle operational issues or schedule changes
- Ensure compliance with security requirements and maintain accurate documentation
- Communicate effectively in both Japanese and English with internal teams and external stakeholders
- Develop and manage vendor relationships across multiple ports
- Support business development activities and perform additional duties as assigned
Qualifications
- Business-level Japanese and English communication skills
- Ability to manage multiple tasks in a fast-paced, logistics-driven environment
- Strong coordination and problem-solving skills
- Flexibility to travel as required
- Ability to handle confidential information with discretion
- Experience in the travel industry is preferred
- Experience handling defense-related projects is a plus
- Basic knowledge of maritime or shipping operations is preferred
